About the role

Newlife Church is seeking a Reception & Administration Coordinator to provide a warm, professional first point of contact for all who engage with Newlife, while delivering organised, efficient administrative support that enables the smooth functioning of church life and ministry.

In this role, you will be the friendly face at our Robina location, ensuring visitors, staff, and congregation members feel genuinely welcomed. You'll also provide vital administrative support to our ministry teams, coordinate volunteers, and help maintain systems and processes that keep our church running smoothly.

This position is based in Robina, Queensland and is offered on a permanent part-time basis (15.2 hours per week, 2 days).

What you'll be doing

·      Greet visitors, answer phone calls, and respond to enquiries with warmth and professionalism

·      Manage reception operations including visitor check-in, mail distribution, and maintaining a welcoming front desk environment

·      Provide administrative support for baptisms, weddings, funerals, and other ministry activities including certificate generation and documentation

·      Respond to internal ordering requests and maintain office supplies and stock levels

·      Coordinate volunteers working in the administration and welcoming space

·      Process payments, maintain accurate electronic records, and generate membership certificates and reports

·      Use Microsoft 365, Canva, and other tools to create professional documentation and streamline administrative workflows

·      Support clear communication and coordination between Newlife Church and Newlife Care teams

What we're looking for

·      Warm, professional, and hospitable demeanour with strong interpersonal and communication skills

·      Proficiency with Microsoft 365 (Outlook, Teams,Word, Excel) and publication tools such as Canva

·      Experience with organisational tools likePlanning Center Online (PCO) or ClickUp is highly regarded

·      High level of discretion, confidentiality, and ability to multitask while remaining calm under pressure

·      Openness to learning new systems and implementing digital solutions to improve efficiency

·      Previous experience in an administration and/or front desk role, ideally in a church, not-for-profit, or social sector environment

·      Commitment to the vision and mission of Newlife Church, a current Blue Card, and Australian working rights
