About the role
Newlife Family of Churches is seeking an experienced Administrative Assistant with high levels of emotional intelligence and discretion to support the Executive team. In this role you will play a crucial part in supporting the efficiency of the Executive Office, offering diverse skills from basic administrative tasks to event coordination and governance administration.
This position is based in Robina, Queensland and is offered on apart-time basis (11.4 hours/week).
What you'll be doing
· Provide day to day administrative support to the Executive office, under the direction of the Executive Assistant. Tasks will be diverse and include:
· electronic file categorisation and organisation
· sermon transcription
· photocopying meeting documentation
· room and resource booking requests
· arranging staff celebrations
· Generate documents, posters and booklets using tools such as Canva
Support seamless administrative functions surrounding the governance of Newlife Church, including:
· generating and updating templates, forms and records
· organising and supporting Congregational Meetings and Annual GeneralMeetings
· maintaining accuracy ofMembership data
· liaise with governance groups within the church (local Elders, Church Council and Executives) to ensure clear communication and documentation as needed.
· Contribute to coordinating events arranged by the Executive Office, including:
· researching accommodation, suppliers and catering vendors
· making room bookings and set up for in-house events
· creating booklets using publications tools such as Canva
· coordinate and communicate effectively to staff within the organisation
What we're looking for
· Experience in providing administrative support, particularly in a church or not-for-profit or social sector environment
· Demonstrated commitment to the vision and mission of the Newlife Family of Churches.
· Proficient in using Microsoft 365 (Outlook, Word, Excel, Teams), and Project Management tools
· Proficient in database products, organisational tools and publication tools
· Ability to work collaboratively with a diverse range of stakeholders
· Personal skills:

· Warm, professional, and hospitable demeanour
· Strong interpersonal and communication skills
· Ability to multitask and remain calm under pressure
· Strong attention to detail and a commitment to accuracy
