Newlife Care Administration and Operations Coordinator

Purpose of the Role
The Administration and Operations Coordinator is responsible for delivering high-level administrative and operational support to the Executive Officer (EO) of Newlife Care. This role ensures the smooth daily functioning of a dynamic community care organisation, through efficient systems management, team support, and stakeholder engagement. The coordinator plays a critical role in enabling the delivery of impactful programs, including Crossroads and Community Care, and supports the mission of Newlife Care to empower local people to do local good.
Key Responsibilities
1. Administrative and Operational Support
- Provide direct support to the EO, including scheduling, correspondence, and meeting preparation.
- Record and distribute accurate minutes for Board Meetings and other key meetings.
- Manage and maintain documentation, including reports, records, and presentations.
- Coordinate procurement and supply of resources and materials required for operational needs.
- Ensure efficient handling of daily administrative tasks such as filing, email communication, and phone enquiries.
2. People and Team Support
- Collaborate with program teams to organise events and enhance program delivery and participant experiences.
- Support recruitment and onboarding processes for staff and volunteers.
- Assist with internal communication and initiatives to foster a positive team culture.
- Prepare resources and materials to support team training and development.
- Champion an organised and value-aligned working environment.
3. Community Engagement and Stakeholder Support
- Manage donor engagement systems and ensure timely and accurate communication.
- Maintain positive relationships with church members, community partners, and donors.
- Support the planning and delivery of events and outreach initiatives.
- Represent Newlife Care’s mission and values in all stakeholder interactions.
4. Systems and Process Management
- Maintain and refine organisational systems for improved operational efficiency.
- Ensure databases are up-to-date, including donor and volunteer records.
- Coordinate the rollout of new systems or processes as needed.
- Ensure compliance with organisational policies, procedures, and relevant industry standards.
